SCHEDULE: Monday – Friday | 8:00 AM – 5:00 PM (on-site only)
SALARY RANGE: $80,641.60 – $91,041.60 (Exempt/Salaried)
DEPARTMENT: Terminal 5 Program
REPORTS TO: T5 Delivery Director
POSITION OVERVIEW
Rohadfox is seeking an experienced and professional Administrative Assistant IV to support the T5 Program Management Team at LAX. This position plays a critical role in maintaining the efficiency and organization of the Terminal 5 Program Office—a large-scale capital improvement effort involving the demolition and full reconstruction of the Terminal 5 headhouse and concourse.
The ideal candidate will have a proven track record of supporting multiple stakeholders, strong communication skills, and the ability to manage and prioritize administrative functions in a dynamic, fast-paced project environment.
ESSENTIAL JOB DUTIES
- Provide a wide range of administrative support including clerical, data entry, report writing, and internal documentation.
- Manage calendars, schedule meetings, reserve conference rooms, and coordinate logistics.
- Answer and screen telephone calls; relay messages and direct inquiries as appropriate.
- Prepare and distribute correspondence, reports, and meeting minutes.
- Scan, copy, fax, and bind project documentation and maintain organized filing systems.
- Track and log documents, maintain version control, and assist with document control tasks.
- Greet and assist internal and external visitors to the office/project site.
- Assist in collecting and compiling data, statistics, and reports for internal and external use.
- Support project controls, document control, and financial tracking processes.
- Assist in preparation of PowerPoint presentations, spreadsheets, and reports as required.
- Stock and maintain office supplies and equipment.
- Collaborate with other administrative staff and provide coverage as needed across TDIP teams.
TECHNICAL SKILLS
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience using Bluebeam
- Familiarity with CAD or Revit is preferred
QUALIFICATIONS
Experience:
- 10+ years in administrative support roles, preferably within construction or public works environments
- Demonstrated ability to support multiple team members and manage competing priorities
- Strong written and verbal communication skills
- Familiarity with policies and procedures related to complex capital public works projects is a plus
Education:
- Post-secondary education required (AA, BA, BS, or MS accepted)
OTHER REQUIREMENTS
- Must live within commuting distance to the project location in West Los Angeles
- Must be available to work after hours or weekends as needed (covered under salary)
- This is an in-office/on-site role —remote work is not permitted
- Consultant must provide their own laptop for business and VPN access; client will provide a desktop if needed
- Cell phone (consultant-provided) required for business use
- Ability to work extended hours or different shifts as project activities require
