Job Description

Position Summary

The Finance & Administrative Manager will provide essential support to the Brand Manager (COO) and CEO by overseeing financial reporting, sales projections, and administrative coordination. This role is designed to keep the business financially organized and operationally efficient by managing key reporting systems, preparing projections, and maintaining compliance. The ideal candidate is highly detail-oriented, numbers-driven, and proactive in ensuring that leadership always has clear, accurate data to make fast, informed decisions.

Key Responsibilities

Financial Strategy & Projections

  • Create, update, and maintain sales forecasts and revenue projections.
  • Track and report on KPIs including sales, returns, margins, and cash flow.
  • Assist with budget management and expense tracking to ensure profitability.
  • Support financial planning and analysis for new collections, campaigns, and wholesale.
  • Provide insights on trends, wins, and areas for optimization.

Reporting & Administration

  • Maintain accurate financial and operational records across all departments.
  • Generate weekly and monthly reports for the Brand Manager/CEO.
  • Track customer service, returns/exchanges, and logistics reports to measure performance.
  • Manage invoices, expense documentation, and compliance-related paperwork.
  • Support preparation of financial statements and audit materials.

Collaboration

  • Work closely with the Brand Manager to align on sales goals and projections.
  • Assist the CFO/CEO in implementing financial strategy.
  • Collaborate with warehouse, marketing, and sales teams to ensure all numbers are accurately tracked.
  • Act as the organizational hub for cross-department data and reporting.

Qualifications

  • 5+ years of experience in finance, administration, or operations support.
  • Strong analytical and reporting skills with advanced Excel/Google Sheets proficiency.
  • Experience with financial tools (QuickBooks, Xero, Shopify analytics, GA4, etc.).
  • Strong organizational and documentation skills.
  • Detail-oriented, proactive, and able to manage multiple priorities.
  • Ability to turn raw numbers into actionable insights for leadership.
