Job Description:

In this role, you'll work directly with the Office Manager to ensure the smooth daily operation of our office. You'll wear many hats, from event planning to providing administrative support to maintaining a welcoming and efficient work environment.

Responsibilities:

  • Maintain a clean, organized, and professional office space.
  • Open and close office space for the day by brewing coffee, stocking snacks and supplies, and prepping the office area for staff and guests.
  • Order and maintain office supplies and equipment.
  • Assist with setting up and breaking down meeting rooms and common areas.
  • Manage building access and security procedures.
  • Support with minor office repairs and maintenance tasks.
  • Building & moving furnishings.
  • Assisting with Photo & Video Shoots from time to time at our in-house studio.
  • Running Errands on and off-site.
  • Answer phones and direct calls appropriately.
  • Greet and welcome visitors.
  • Manage incoming and outgoing mail and packages.
  • Process expense reports accurately and efficiently.
  • Take proactive steps to ensure office health and safety by being well-versed in
  • Assist with event planning and execution, including food orders and decorations.
  • Organize and maintain administrative documents and files.
  • Learn and adapt to new tasks and procedures quickly.
  • Proactively identify and address potential issues.
  • Work independently and take initiative within a collaborative environment.

Skills and Qualifications:

  • Valid Driver's License Required
  • Well-versed in injury and incident reporting procedures, with knowledge of OSHA/health & safety compliance requirements (OSHA training not required, however, is expected to be earned within the first 90 days)
  • Strong attention to detail and confidentiality when handling sensitive safety-related information.
  • Excellent organizational skills and attention to detail.
  • Time management skills and the ability to work independently are highly appreciated.
  • Strong communication and interpersonal skills.
  • Ability to multitask and prioritize effectively.
  • Proficiency in Word Processing, Google Sheets, and Google Slides
  • Experience with event planning
  • Decorating skills and an eye for design are welcome.
  • Trustworthy and reliable with a strong work ethic.
  • Must be able to lift up to 35 pounds
