What You Will Be Doing:

The Operations Assistant will play a critical role in supporting the daily functions of the operations team by managing incoming calls, mail distribution, and office support tickets, helping to ensure the smooth execution of daily office operations. This role also includes serving as the Receptionist for our New York Headquarters, where you will create a welcoming and professional environment for clients, vendors, visitors, and internal staff.

As the face and voice of our office, you will be essential in maintaining high standards of service and operational excellence. The ideal candidate is organized, reliable, and enthusiastic, with a friendly phone presence, strong multitasking abilities, and a proactive attitude toward learning and supporting the team.

Key Responsibilities:

Reception and Client Services:

  • Answer and transfer a high volume of incoming calls with a warm, professional demeanor.
  • Create a welcoming environment for visitors, vendors, and clients.
  • Maintain the front desk, conference rooms, and pantry areas neat and ready for use.
  • Prepare refreshments and assist with catering orders for client meetings, ensuring a comfortable experience.

Mail and Package Handling:

  • Receive, sort, and distribute incoming mail, checks, and packages daily.
  • Manage shipping tasks, including preparing FedEx/UPS/messenger deliveries.

Operations Support:

  • Monitor and manage basic office support tickets (examples: supply requests, maintenance needs).
  • Handle and process confidential information with a high level of discretion and professionalism.
  • Assist with general administrative tasks to keep the office running smoothly.
  • Participate in special projects and initiatives as assigned by the Operations Manager or senior leadership.

Who We Are Looking For:

Your experience includes:

Education:

  • Bachelor's degree in business administration, Operations Management, or a related field preferred.
  • Recent graduates are encouraged to apply!

Experience:

  • 0–2 years of office, customer service, or receptionist experience.
  • Experience handling a high volume of phone calls, managing mail, or working in an operations support environment is preferred.

Skills:

  • Excellent written and verbal English communication skills.
  • Strong organizational and time-management skills.
  • Attention to detail and accuracy in data entry and reporting.
  • Friendly, professional attitude and outstanding customer service skills.
  • Dependable, highly organized, and able to multitask effectively.

  • Basic proficiency with Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).

Work Environment:

Location: On-site, 5 days per week (Midtown Manhattan).

Physical Demands: Ability to lift up to 25 pounds and be on your feet occasionally throughout the day.

Hours: Standard business hours, Monday through Friday.
