About Us:

We are a growing personal injury law firm with four dedicated attorneys committed to delivering high-quality legal services to our clients. As our firm continues to expand, we are seeking a motivated and experienced Intake Specialist to join our team and play a critical role in the client onboarding process.

Position Summary:

The Intake Specialist will serve as the first point of contact for potential clients, ensuring a seamless and professional experience from the initial phone call to the formal onboarding process. This position requires a skilled communicator who is highly organized, self-motivated, and capable of managing a rotating attorney schedule. The ideal candidate will have prior experience in personal injury law and working knowledge of cloud-based intake platforms, particularly Filevine and LeadDocket or similar systems.

Key Responsibilities:

• Serve as the initial contact for new client inquiries via phone, email, and online leads
• Conduct thorough intake interviews to gather essential case information and assess potential claims
• Coordinate client sign-ups and ensure proper documentation is completed and processed efficiently
• Manage the attorney rotation for new case assignments and schedule consultations accordingly
• Maintain detailed records in Filevine, LeadDocket, and other case management tools
• Follow up with prospective clients who have not yet retained the firm
• Handle high call volumes with professionalism and empathy
• Ensure a smooth transition from intake to case management

Required Qualifications:

• Minimum 2 years of intake or legal administrative experience, preferably in personal injury
• Strong working knowledge of Filevine, LeadDocket, or comparable legal intake software
• Excellent communication and interpersonal skills
• Highly organized with strong attention to detail
• Ability to work independently and take initiative without constant supervision
• Comfortable managing attorney schedules and working in a fast-paced environment

Preferred Qualifications:

• Bilingual (Spanish/English) a plus
• Previous experience in a growing firm environment
• Receptionist experience highly noted
