Job Description

We seek an exemplary Receptionist to handle all types of inquiries, oversee daily office operations and communicate with clients. As our receptionist, you will be required to ensure that all visitors are welcome and feel at ease with our company. Varying levels of technical skills are required for this job. You should have strong communication skills and be able to convey messages in face-to-face interactions and through writing, both internally and externally. Ultimately, the goal is to properly greet, direct and assist visitors so they can enhance their experience of working with us.

Responsibilities:

  • Answer phones, take messages and transfer callers to appropriate personnel.
  • Greet visitors, offer beverages, and keep them comfortable while they wait
  • Direct visitors to the appropriate person and office.
  • File, scan and copy documents.
  • Sort mail, schedule appointments and client intake
  • Data Entry clerking duties on off times
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
  • Provide basic and accurate information in-person and via phone/email.
  • Order front office supplies and keep inventory of stock.
  • Billing, ensure all clients are being billed for services.
  • Any clerical tasks as needed.
  • Lifting (up to 15 pounds), bending, and standing as necessary

Qualifications:

  • High School Diploma or equivalent
  • Proficient in MS Office & G Suites
  • QB Desktop & QBO Knowledge (Preferred)
  • High level of attention to detail
  • Ability to prioritize numerous tasks on a high-volume team
  • 1-2 years of experience in an office setting

Language:

  • Fluent in Spanish (Required)
  • Fluent in English (Required)
